DUTIES & RESPONSIBILITIES: Greet Clients in a friendly and courteous manner and attend to their inquiries. Answer and/or appropriately direct all telephone and ‘walk-in’ Client inquiries. Collect mail from the MNC’s Post Office Box, appropriately direct all correspondence received, and deliver outgoing correspondence to the Post Office. Send documents by fax, and direct incoming faxes appropriately. Receive and deal appropriately with E-mail and answering machine messages. Maintain records of telephone inquiries, ‘walk-in’ inquiries, and correspondence for statistical purposes. Maintain a day-by-day awareness of room hire bookings, and prepare rooms for use by room hirers or Centre programs. Use word processing / desktop publishing software to produce correspondence and promotional materials on request. Process photocopying. Take inventory of supplies in the reception, office, and kitchen; place orders for items required, and make purchases if directed. Maintain the order and tidiness of the reception, office, and kitchen areas. Receipt of rental monies from room hirers.
