DUTIES & RESPONSIBILITIES:  Greet Clients in a friendly and courteous manner and attend to their inquiries.  Answer and/or appropriately direct all telephone and ‘walk-in’ Client inquiries.  Collect mail from the MNC’s Post Office Box, appropriately direct all correspondence received, and deliver outgoing correspondence to the Post Office.  Send documents by fax, and direct incoming faxes appropriately.  Receive and deal appropriately with E-mail and answering machine messages.  Maintain records of telephone inquiries, ‘walk-in’ inquiries, and correspondence for statistical purposes.  Maintain a day-by-day awareness of room hire bookings, and prepare rooms for use by room hirers or Centre programs.  Use word processing / desktop publishing software to produce correspondence and promotional materials on request.  Process photocopying.  Take inventory of supplies in the reception, office, and kitchen; place orders for items required, and make purchases if directed.  Maintain the order and tidiness of the reception, office, and kitchen areas.  Receipt of rental monies from room hirers.
