About the role:
Volunteer Stock Controller
To assist with following responsibilities; • Forecasting supply and demand to prevent overstocking and running out-of-stock (OOS) • Creating and maintaining internal databases of purchase and donation details (supplier information, invoices, and pricing) to assist with forecasting • Placing orders/advertisements to replenish merchandise as needed • Ultimately, you will help us to increase efficiency and effectiveness by maintaining optimal stock levels of quality products at all times. You will reduce expenditure by tracking and providing the required information to the committee to negotiate bulk supply agreements
Job brief Due to an ever increasing need to help our vulnerable children, and the sheer volume which we are now producing, we need to take our operations to the next level. We are seeking the help of an experienced Stock Controller to volunteer their time to help us set up an online inventory system. With the demand for our packs growing every year, it is imperative that we become more efficient with our time so that our volunteers can focus on the most important tasks at hand, to get our packs out quickly and efficiently so that no child has to go without. We need someone that is experienced with setting up systems and processes to save time through efficient operations, allowing for accurate forecasting and planning to purchase/source merchandise based on upcoming needs. Stock Controller responsibilities include creation of inventory system, overseeing inventory audits and maintaining reports of purchases and pricing. Any experience with negotiating supply agreements would be a bonus but not essential. To be successful in this role, you should be familiar with supply chain procedures and have good communication skills to interact with suppliers, clients, and internal team members. Responsibilities • Forecast supply and demand to prevent overstocking and running out-of-stock (OOS) • Enter purchase details (supplier information, invoices, and pricing) into internal databases • Place orders to replenish merchandise as needed • Track shipments and address any delays • Oversee storage of products • Evaluate suppliers’ offers and negotiate profitable deals • Coordinate regular inventory audits • Liaise with Operation Sunshine volunteers and committee members to monitor products’ quality (status upon delivery and storage conditions) and best pricing • Keep updated inventory records (including daily shipments) • Ensure purchases do not exceed budget
Ideal Requirements • Proven work experience as a Stock Controller, Inventory Manager, or similar role • Good understanding of supply chain procedures • Working knowledge of inventory management software, ability to create and implement set up and train other team members to use • Schedule and have active participation in inventory audits • Excellent organisation skills • Good communication and negotiation abilities • BSc in Logistics, Business Administration or relevant field would be great but not essential.
This is a new role for us, and we would be looking for guidance from you as to the best steps to take to improve our systems. The amount of time required is on a volunteer basis so as and when you can afford the time. With Christmas just around the corner we would love to have this all set up in November to assist with the rush.
