ABOUT PETS OF THE HOMELESS

Pets Of The Homeless (POTH) help keep vulnerable people and their pets together by alleviating the burden of providing essential pet care during times of hardship. We believe that the companionship and the therapeutic value of pets is immeasurable and nothing should come between a loving owner and their pet. Not homelessness. Not financial hardship. Not domestic violence. Pets are family – and nothing should stand in the way of that.

Each member of our team, including volunteers, plays a vital role in realising our vision: a community where no person is separated from their pet due to disadvantage.

ABOUT THE ROLE

We are seeking a reliable and detail-oriented Volunteer Minute Taker to support our Board of Directors by recording, preparing, and distributing accurate minutes for our monthly board meetings and strategy sessions and Annual General Meeting (AGM).

In addition to note taking, this role involves liaising with board members ahead of each meeting to assist with agenda preparation and ensure necessary documents are collated. This is a great opportunity for someone who values governance, has excellent attention to detail, and is passionate about using their skills to support a purpose-driven organisation.

TIME REQUIREMENTS

  • Board meetings and strategy sessions are held once per month on a Wednesday evening from 7:00pm to 8:30pm (via Google Meet)
  • Preparation and follow-up time totals approximately 3–4 hours per month
  • Attendance at the Annual General Meeting (AGM) in December is also required
  • Minimum commitment of two years

KEY RESPONSIBILITIES

  • Liaise with board members and the Secretary to support agenda preparation
  • Receive and review board meeting materials prior to each meeting
  • Attend all board meetings and the AGM
  • Take clear, accurate notes during meetings
  • Prepare the first draft of meeting minutes using Google Docs and submit to the Board Secretary and Chair within 48 hours
  • Revise minutes as needed following feedback
  • Ensure finalised minutes are prepared for formal approval at the subsequent meeting

KEY SELECTION CRITERIA

  • Strong written and verbal communication skills
  • Excellent attention to detail and listening skills
  • Proven ability to take accurate notes and draft clear, concise meeting minutes
  • Familiarity with governance processes or board meetings (preferred but not essential)
  • Proficient in using Google Workspace (Docs, Meet, Gmail, Calendar)
  • Ability to maintain confidentiality and act with integrity
  • Reliable, punctual, and responsive to communication
  • Willingness to sign and adhere to POTH volunteer policies, including a confidentiality agreement
  • Ability to provide (or apply for) a current Police Check – cost covered by Pets Of The Homeless
