Administration Support for our Phone Support Team

The Phone Support Team - Administration Support role is essential to ensuring the smooth and effective operation of our volunteer-led phone support service. Working behind the scenes, this role supports the ongoing development, documentation, and improvement of our systems and processes.

You will work closely with the Phone Support Leader to maintain our administrative systems, update key documents, and ensure consistent, clear communication for our national volunteer team.

Key Responsibilities

  • Maintain and update volunteer and partner information in Better Impact (our volunteer management system)
  • Update and refine manuals, guides, and process documents for phone support
  • Create and maintain documentation using the 4 Voices process document template
  • Complete various ad hoc administration tasks as required by the Phone Support Leader
  • Organise files and records to ensure clarity and version control across all phone support documents
  • Use Microsoft Word to format and update manuals and documentation
  • Use Microsoft Excel to manage data, track updates, and assist with reporting or records

What You’ll Bring

  • Strong administrative and organisational skills
  • High attention to detail and accuracy in documentation
  • Proficiency in Microsoft Word and Excel
  • Comfortable working independently and remotely
  • Ability to use or learn systems such as Better Impact and SharePoint
  • Good written communication skills
  • A proactive and flexible attitude to varied tasks
