Office and Administration Volunteer
The Darling Downs Environment Council (DDEC) is the peak regional environment body for the Darling Downs, Southern Downs, Western Downs and Lockyer Valley regions. Established in 2014, DDEC supports grassroots conservation groups and delivers strategic environmental advocacy across the region.
We are seeking a highly organised and reliable Office Management & Administration Volunteer to help strengthen our internal systems and operational capacity.
Key Duties and Responsibilities
Office Systems & Administration
Maintain digital filing systems and document control processes
Manage shared drives and ensure consistent record keeping
Support email inbox management and correspondence tracking
Assist with scheduling meetings and maintaining calendars
Governance Support
Prepare board and committee meeting documentation packs
Assist with minute formatting and records management
Maintain governance registers (e.g. policies, delegations, compliance documents)
Support reporting requirements to funding bodies and partners
Financial Administration (support role)
Assist with invoice tracking and expense reconciliation
Maintain simple financial spreadsheets (under Treasurer supervision)
Support grant acquittal documentation collation
Database & CRM Support
Maintain supporter and stakeholder contact databases
Ensure accurate data entry and privacy compliance
Operational Coordination
Assist with volunteer onboarding documentation
Support event administration and logistics
Develop and improve administrative systems where needed
Skills and Experience
Strong organisational and time management skills
High attention to detail
Ability to work independently
Experience in office administration, bookkeeping, governance support or nonprofit operations highly regarded
Understanding of confidentiality and compliance obligations
