Event Operations Coordinator - Online

Lifestyle Markets Australia Inc. (LMA) is a registered charity and not-for-profit bringing communities together through family focused fundraisers, markets and events across Victoria.
Proceeds from our events support Kinds of Happiness (KOH), a charity helping disadvantaged youth in regional and rural Australia through mentoring, farming programs, and skills development.
Role Description:
We are looking for an enthusiastic Volunteer Event Operations Coordinator to help us create memorable, community-driven events. You will support venue sourcing, vendor and stallholders coordination, community group engagement, and volunteer management. Ensuring every event runs smoothly and leaves a lasting impression. If you're organised, people-oriented, and love making things happen, we would love to have you on the team.
Key Responsibilities:
- Attend training and team huddles to get up to speed
- Coordinate with local makers, stallholders, businesses, vendors, community groups, associations, and on-site staff to keep events running smoothly
- Support the identification of grant and sponsorship opportunities
- Assist with the preparation of supporting documentation for applications as required
- Help manage event calendars and deadlines
- Keep compliance documents in check
- Respond to event-related enquiries
- Work with internal teams on promotions, registrations, and communications
- Keep records organised so the team always knows what’s happening
Essential Criteria:
- Strong organisation and time management
- Clear, friendly, and professional communication
- Attention to detail and ability to juggle tasks
- Reliable, proactive, and self-motivated
- Confidence using digital tools (email, shared drives, online meeting platforms)
- Ability to work independently, remotely, and with a can-do attitude
Desirable Skills:
- A positive, welcoming attitude with a genuine smile and enthusiasm for engaging with people
- Willingness to roll up your sleeves and assist with hands-on event tasks
- Comfortable supporting online meetings, shared documentation, and digital tools like Google Workspace
- Interest or confidence in event coordination, sponsor communication, and fundraising
- Previous volunteer or not-for-profit experience is a bonus, but not required — enthusiasm matters most!
Time Commitment:
- Flexible hours, with more time needed during events.
- Ideally 3-4 hours dedicated per week
