Treasurer - Management Committee (Volunteer Position)

THIS IS A VOLUNTARY ROLE

The Treasurer is a key member of the Youth Service Providers Inc. Management Committee, providing oversight and leadership in financial governance. The role supports the Committee to fulfil its responsibility to manage the organisation in accordance with its stated objectives, ensuring sound financial management, transparency, and accountability.

The Management Committee meets on a bi-monthly basis and holds overall responsibility for the governance and strategic oversight of the organisation. Operational matters are led by the Youth Link Co-Managers, who represent the staff team and work closely with the Committee.

The Treasurer works in partnership with the Co-Managers and Bookkeeper, acting as a link between management and the Committee on all financial matters.

Key Responsibilities

Financial Oversight and Governance

Maintain a clear overview (“watching brief”) of the organisation’s financial position.

Review bi-monthly financial reports presented to the Management Committee, ensuring accuracy, clarity, and completeness.

Identify and raise any financial risks, issues, or emerging trends to the Committee in a timely manner.

Ensure appropriate financial systems, controls, and procedures are in place and functioning effectively.

Budgeting and Financial Planning

Ensure an annual organisational budget is developed, approved by the Committee, and aligned with strategic objectives.

Monitor income and expenditure against the approved budget.

Support the Committee to ensure the organisation maintains sufficient income to meet operational and strategic requirements.

Advise on financial sustainability and strategic financial planning.

Compliance and Accountability

Ensure all funding agreements and contractual financial conditions are met.

Oversee the preparation and submission of financial reports required by funding bodies, including quarterly and annual acquittals (prepared by Co-Managers).

Ensure proper financial records are maintained in accordance with regulatory and funding requirements.

Ensure the organisation’s accounts are independently audited annually.

Reporting and Communication

Ensure accurate and timely bi-monthly financial reports are provided to the Management Committee.

Support Committee members to understand financial reports and implications for decision-making.

Ensure end-of-financial-year reporting is completed within required timeframes, including preparation for the Annual General Meeting (AGM).

Fund Management and Sustainability

Ensure organisational funds are properly managed, accounted for, and used in alignment with approved purposes.

Provide advice to the Management Committee on financial strategy, including income diversification and fundraising opportunities.

General Responsibilities

Actively contribute as a member of the Management Committee, including attendance at bi-monthly meetings.

Participate in strategic decision-making and governance discussions.

Uphold the organisation’s values, objectives, and code of conduct.

Maintain confidentiality and act in the best interests of the organisation at all times.

Support for the Role

The Treasurer is supported by the Youth Link Co-Managers and Bookkeeper, who are responsible for day-to-day financial administration, accounting processes, and preparation of financial reports.
