MentorShe - Events Co-ordinator

This role is a crucial part of our mentoring volunteer team. Reporting into the mentor(SHE:) Deputy Program Lead, the Events Coordinators are responsible for the overall management of our events within our annual program.
This is the perfect opportunity for young professionals in Events, Project Management, Hospitality, Logistics Management, or a similar field. Volunteers will gain practical experience, build on their skillset and knowledge, connect with leaders in the STEM industry and receive a variety of perks, including discounted tickets to other Women 4 STEM events.
Responsibilities include:
Create, own & manage mentor(SHE:) annual event schedule. Coordinate with fellow Event Coordinators, Program Lead & Deputy Program Lead
Develop event management logistics collateral - including run sheets and RSVP attendee lists. Also plan for and deliver improvements to the event experience; i.e. new audience engagement tools
Primary contact & coordinator for event sponsors, speakers, panelists & venue management. This includes providing audience numbers & dietary/accessibility requirements to venue, scheduling event dry runs with speakers, etc.
Liaise with Marketing team to create presentation materials and event communications (invites, post event wrap up, socials, etc.) - ensuring alignment with Women 4 STEM brand guidelines
Liaise with Deputy Program Lead on annual event budgeting
Coordinate with other Women 4 STEM stakeholders to ensure mentor(SHE:) events are included in Women 4 STEM’s overall event schedule, and do not clash with other program events
Provide monthly reporting and analysis on event activities
