About Women 4 STEM

Women for STEM was founded in 2005 and is a not-for-profit organisation dedicated to empowering young girls and women to pursue careers in STEM by providing resources, mentorship, and career opportunities. We host 5 programs and over 40 events each year, such as Go Girl, Go for IT, What’s Hot in Tech, and the Grad Girls Program to inspire young minds and foster diversity in STEM.

About the Grad Girls Program

The Grad Girls Program is a flagship initiative of Women 4 STEM, designed to inspire and empower female students to explore careers in STEM. The program features engaging workshops, interactive careers expo, panel discussions, and webinars, culminating in impactful events. Across the 9-month Program, participants connect with STEM professionals, gain hands-on experience, and envision themselves in STEM careers

Role Overview

  • The Program Support Coordinator provides flexible operational and administrative support across the Grad Girls Program, helping teams stay organised, responsive, and delivery focused.
  • This is a hands-on role designed to support multiple functional areas as required, including events, communications, engagement, coordination, reporting, logistics, and general program operations.
  • Working closely with Program Leads and Coordinators, you will help ensure activities are completed efficiently, issues are followed up, and day-to-day tasks continue to progress smoothly.
  • This role is ideal for someone who enjoys variety, takes initiative, and is comfortable stepping in wherever support is needed. You will play an important role in helping the broader team manage competing priorities and deliver a positive experience for students, volunteers, partners, and stakeholders.
  • Volunteers will gain practical experience across program operations and event delivery, develop transferable coordination and stakeholder management skills, expand their networks, receive mentoring and hands-on exposure, and enjoy perks such as discounted tickets to Women 4 STEM events.

Responsibilities include:

  • Provide flexible operational and coordination support across multiple areas of the Grad Girls Program as required
  • Assist Program Leads and Coordinators with administrative, organisational, and follow-up activities
  • Support event preparation and delivery activities, including logistics, communications, registrations, and participant support
  • Help manage shared inboxes, team communications, and general enquiries
  • Coordinate and track actions, tasks, and deadlines to support smooth program delivery
  • Assist with preparing meeting notes, reports, status updates, and documentation Support stakeholder engagement activities with students, volunteers, partners, and presenters
  • Contribute to maintaining organised records, templates, trackers, and shared resources
  • Assist with post-event activities including feedback collection, follow-ups, and lessons learned
  • Identify issues, gaps, or improvement opportunities and escalate where appropriate Contribute to a collaborative, inclusive, and supportive team environment

Who are we looking for?

  • Strong organisational and communication skills, with the ability to manage multiple tasks and priorities
  • Proactive and adaptable, with a willingness to support wherever needed
  • Reliable, approachable, and solutions-focused
  • Comfortable working across diverse teams and stakeholders
  • Attention to detail and ability to follow through on actions
  • Confident using Microsoft Teams, Zoom, and standard collaboration tools
  • Experience with Slack, Discord, Canva, Google Workspace, or event platforms is advantageous but not essential
  • Passion for gender equality and supporting diversity in STEM education

What is the commitment?

  • Approximately 4-6 hours per week. Certain times are busier than others
  • The Grad Girls Program runs for 9 months (February–October). Applicants must commit for the reminder of the 2026 program
  • Flexibility to attend both in-person events and virtual meetings (note: team meetings may be outside business hours or on weekends)
