Help Keep Our Charity Running Behind the Scenes

Our Mate-Ship Limited is an ACNC-registered charity providing free "Wellness on Water" experiences for current and former Defence personnel, Emergency Services members, their families, carers and other vulnerable members of our community.

As our charity continues to grow, we're looking for a friendly, organised and reliable Volunteer Administration Assistant to help keep everything running smoothly behind the scenes. This is a flexible role that can be completed primarily from home, with occasional meetings or events on the Sunshine Coast if you're local.

What you'll be doing Managing and responding to emails. Assisting with participant bookings and enquiries. Maintaining records and databases. Preparing documents, forms and correspondence. Updating spreadsheets and Monday.com. Supporting event administration. Assisting with volunteer coordination. General administrative support to our Founder and volunteer team. About you

You'll be organised, proactive and comfortable using email, Microsoft Office or Google Workspace. Experience in administration is highly regarded, but we're equally interested in someone with a willingness to learn, great attention to detail and a genuine desire to make a difference.

Commitment

Regular - more than 6 months

Training

Full induction and ongoing support will be provided. You'll receive training in our administration processes, booking systems, document management and communication procedures. You'll work closely with our Founder and be supported as you learn our systems, with regular check-ins and guidance. No previous experience with our specific systems is required.

Time required

We're seeking a volunteer who can commit around 4–8 hours per week on an ongoing basis. Hours are flexible and can mostly be completed remotely, with occasional meetings or events on the Sunshine Coast if you're local. We'll work with you to find a schedule that suits your lifestyle. We're looking for someone who'd like to become a valued, long-term member of our growing charity.

Reimbursement

Any agreed reasonable costs incurred will be reimbursed

Requirements

National Police Certificate

Strong organisational and communication skills. Comfortable using email, Microsoft Office or Google Workspace, and able to learn Monday.com. Ability to work independently and maintain confidentiality. A positive, reliable and proactive attitude. An interest in supporting veterans, emergency services personnel and the wider community is highly regarded.
