Position Overview

The Volunteer Events Manager will take a lead role in the planning, coordination, delivery, and evaluation of Team Rainbow's ongoing programme of events and activities.

Working closely with the Team Rainbow Committee, Marketing Manager, volunteers, sponsors, community partners, venues, suppliers, performers, artists, participants, and other stakeholders, the Events Manager will be responsible for coordinating events from initial concept and planning through to successful delivery and post-event evaluation.

Events may include community and social events, sporting and recreational activities, arts and cultural events, fundraising events, dinners and functions, exhibitions, celebrations, community engagement activities, and other special events organised or supported by Team Rainbow.

Key Duties and Responsibilities

Event Strategy and Planning

  • Lead and coordinate the planning and delivery of Team Rainbow events in collaboration with the Team Rainbow Committee.
  • Assist the Committee in developing an annual or forward programme of events and activities.
  • Identify and develop new event concepts and opportunities that support Team Rainbow's charitable objectives and community engagement goals.
  • Prepare event proposals, project plans, timelines, task schedules, and key milestones.
  • Assess the feasibility, resource requirements, potential costs, risks, and benefits of proposed events.
  • Coordinate activities associated with each approved event from initial planning through to completion.
  • Monitor event planning progress and follow up on outstanding actions.
  • Provide regular updates to the Team Rainbow Committee regarding event planning and delivery.
  • Assist in identifying and resolving issues that may affect successful event delivery.

Event Management and Coordination

  • Act as the primary operational coordinator for Team Rainbow events.
  • Coordinate event requirements with venues, suppliers, contractors, performers, artists, participants, and other stakeholders.
  • Develop detailed event schedules, operational plans, checklists, and run sheets.
  • Coordinate event set-up, delivery, and pack-down arrangements.
  • Ensure appropriate event materials, equipment, signage, displays, and resources are available.
  • Help ensure events are welcoming, accessible, inclusive, organised, and professionally delivered.
  • Oversee event operations and respond to operational issues as they arise.

Initial Priority – 2026 Art Show and 10th Anniversary Celebrations

The Events Manager's initial major project will be the coordination and delivery of Team Rainbow's 2026 Art Show and 10th Anniversary Charity Dinner at Kedron-Wavell RSL, Chermside.

The successful applicant will work closely with the Team Rainbow Committee, Marketing Manager, venue, artists, sponsors, suppliers, and volunteers to deliver these milestone celebrations.

The key event dates are:

  • Friday 24 July 2026 – Art Show Gala Opening
  • Saturday 25 July 2026 – Art Show Exhibition and 10th Anniversary Charity Dinner
  • Sunday 26 July 2026 – Art Show Exhibition and Pack-Down

Following these events, the Events Manager will continue in the ongoing role, working with the Committee to plan and deliver Team Rainbow's future events and activities.

Required Skills and Attributes

Desirable

  • Experience or studies in event management, hospitality, project management, arts administration, community development, sport and recreation, or a related field.
  • Previous experience coordinating events, functions, festivals, exhibitions, sporting activities, fundraising activities, or community programmes.
  • Experience working with venues, suppliers, sponsors, performers, artists, or volunteers.
  • Experience developing event schedules, project plans, budgets, or run sheets.
  • Experience working within community organisations, charities, arts organisations, or sporting organisations.
  • Experience developing new event concepts or community initiatives.
  • Knowledge of rainbow+ communities and inclusive practices.

Formal event management qualifications are not essential. Team Rainbow welcomes applications from people with transferable skills, relevant volunteer experience, current studies, or a strong interest in developing practical event management experience.
