Located on Gadigal land at Taylor Square in Darlinghurst’s iconic old police station, Qtopia Sydney relies on the support of the community and our volunteers to preserve LGBTQIA+ stories, celebrate diversity and create welcoming spaces for all. We do this through exhibitions, performance, education and community activities.
Reports To: Board Chair / The Board
Position Purpose
The Secretary ensures the Board maintains strong governance, complies with its constitution, and meets all legal requirements set by the ACNC and state regulators.
Key Responsibilities
1. Governance & Compliance
Maintain Registers: Keep accurate lists of board members, organizational members, and conflicts of interest.
Regulatory Filing: Lodge annual statements and notify changes to the ACNC or state consumer affairs.
Constitutional Advice: Guide the board to ensure decisions align with the organizational rules.
2. Meeting Administration
Scheduling: Coordinate dates for all Board meetings and the Annual General Meeting (AGM).
Agendas & Papers: Compile and distribute the board pack for meetings.
Minutes: Record clear, objective minutes of discussions, resolutions, and action items.
3. Communication & Records
Correspondence: Manage official incoming and outgoing board communications.
Safe Keeping: Maintain important documents and historical board archives.
Key Selection Criteria
Experience: Previous experience in governance, administration, or working with a board.
Skills: High-level organization, strong written communication, and attention to detail.
Knowledge: Familiarity with the Associations Incorporation Act or Corporations Act.
Commitment: Ability to dedicate roughly 4 hours per month to the role.
