Welcome, Administration & Enrolment Support Volunteer

Help make every first contact feel welcoming and clear
The first experience someone has with CFLS may begin with a question, a registration form or a friendly welcome at the door.
The Community French Language School Inc. is establishing a multicultural education and cultural hub at Kirra Hill on the southern Gold Coast. Through language learning, creative programmes, cultural events and shared community experiences, we aim to bring children, adults, families and community partners together.
We are looking for a warm, organised and careful volunteer to help visitors and participants find the right information, understand the next step and feel supported throughout the registration and enrolment journey.
You will work under the guidance of the CFLS Project Director or another authorised supervisor. You will use approved information and systems and will never be expected to make eligibility, educational, safeguarding or enrolment decisions independently.
What you could help with
Depending on the activity agreed with your supervisor, you may help:
- welcome visitors and respond to general enquiries;
- direct people to the appropriate programme, information or CFLS contact;
- explain registration and enrolment steps using current approved materials;
- help people understand and complete forms without completing declarations for them;
- enter or verify approved registration fields in the CFLS system under supervision;
- prepare attendance lists, name labels, welcome packs and approved follow-up messages;
- identify missing information and refer it to the appropriate team member;
- flag consent questions, accessibility requests, complaints or sensitive enquiries;
- assist with authorised filing, document checks and records organisation;
- prepare de-identified participation counts for approved reporting;
- follow check-in, privacy, document-handling and clean-desk procedures; and
- suggest practical ways to make administration more welcoming, accessible and efficient.

You may contribute through one or more flexible project streams:
Welcome Desk Support
Help create a warm and organised arrival experience during selected programmes or events.
Enrolment Journey Project
Review forms, information packs and participant communications and suggest ways to make them clearer and more accessible.
Registration Support
Help prepare or check approved registration information under supervision.
Information Pack Project
Help assemble programme guides, welcome materials, name labels and participant packs.
Records Quality Project
Support authorised filing, completeness checks and de-identified participation reporting.
Activities are offered in advance. You may accept or decline them according to your interests and availability.
A project you can help shape
During the CFLS foundation stage, you might choose a defined improvement project such as:
- mapping the participant journey from first enquiry to first visit;
- creating a welcoming registration checklist;
- testing whether enrolment information is easy to understand;
- improving confirmation and reminder templates;
- helping make forms more accessible and inclusive;
- organising an approved digital or paper filing system; or
- creating a simple checklist for event and programme registrations.
All projects remain subject to CFLS approval and its privacy, safety, safeguarding and records-management requirements.

Experience in administration, reception, customer service, enrolment, records management, education or community services is welcome but not essential.
French-language skills are appreciated but are not required.
