Volunteer Executive Assistant to the CEO

Rethink Australia Foundation Ltd is a youth-led environmental organisation helping schools and students reduce waste through education, technology and practical action.

As Rethink Australia grows, we are seeking an organised, dependable and trustworthy Volunteer Executive Assistant to support the Chief Executive Officer with administration, coordination and follow-through.

Key responsibilities

• Maintain task lists, priorities, deadlines and follow-ups
• Assist with calendar coordination and meeting preparation
• Prepare agendas, briefing notes and background materials
• Record meeting notes and action items where requested
• Follow up on agreed actions with team members and external contacts
• Draft and proofread routine correspondence for approval
• Coordinate applicant communications, interviews and recruitment records
• Maintain accurate trackers, Microsoft Lists and administrative records
• Assist with volunteer onboarding and document collection
• Organise files in approved SharePoint and OneDrive locations
• Prepare documents for board, advisory and internal meetings
• Monitor workflows and identify overdue actions
• Help maintain templates, procedures and internal documentation
• Support other administrative priorities and special projects

About you

We are looking for someone who is organised, responsive and comfortable working closely with a founder and CEO.

The successful applicant will have strong written communication skills, excellent attention to detail and the ability to manage multiple tasks and deadlines. Applicants should be comfortable following instructions, asking sensible questions, maintaining accurate records and communicating promptly.

Sound judgement and discretion are essential because the role may involve confidential organisational, applicant, governance and stakeholder information.

Experience in executive assistance, administration, project coordination, governance support, recruitment administration or records management is highly regarded but not essential. University students, recent graduates, emerging professionals and experienced volunteers are encouraged to apply.

Working relationship

The Executive Assistant will work closely with the CEO and may coordinate with directors, advisors, volunteers, applicants and external stakeholders where authorised.

The role supports coordination and follow-through but does not have authority to make commitments, approve expenditure, appoint volunteers, publish information or communicate official decisions without approval.

Location and commitment

The role is based in Sydney and is online or remote friendly. Most work can be completed remotely, with occasional in-person collaboration where mutually convenient.

Approximately three to five hours per week is anticipated for an initial period of up to six months. Flexible arrangements are available, but regular communication and reliable follow-through are important.

Confidentiality

The volunteer must protect confidential organisational, applicant, volunteer and stakeholder information. Access to systems and documents will be limited to assigned responsibilities. Organisational information must not be disclosed or used without authorisation.
