Communication and Relationships

• Maintain respectful communication with athletes, families/carers, volunteers and SOA.

• Represent the Sub-Program in relevant SOA discussions or forums as required.

• Support timely, clear and consistent information-sharing across the Sub-Program's jurisdiction.

• Contribute to positive and cooperative working relationships within the Committee.

• Works collaboratively with relevant SOA staff to support aligned planning, communication and delivery of Sub-Program activities.

Governance and Accreditation

• Support Committee activities to follow SOA safeguarding, conduct, finance and risk policies.

• Contribute to meeting Accreditation Licence requirements, including documentation and review processes.

• Promote transparent record-keeping and appropriate use of SOA systems.

• Identify and escalate risks or issues promptly in line with SOA expectations.

Role-Specific Responsibilities — Administration Officer

• Prepare agendas, minutes and meeting papers.

• Maintain Committee records, correspondence and registers.

• Manage meeting scheduling, notices and distribution of documents.

• Record and track action items from Committee meetings.

• Store and organise documents in SOA-approved systems.

Essential

• Experience in administration in work, school, club or volunteer settings.

• Strong organisation and time-management skills.

• Clear written and verbal communication skills.

• Comfortable using digital tools for communication and document management.

• Commitment to the values, purpose and inclusive mission of Special Olympics Australia.

• Willingness to understand and comply with SOA policies, including safeguarding, integrity, conduct, finance and risk requirements.

• Ability to contribute constructively to collective, committee-based decision-making.

• Sound judgement and ability to act in the best interests of athletes and the organisation.

• Respectful interpersonal and communication skills, including the ability to engage with athletes, families, volunteers and SOA staff.

• Willingness to undertake required induction, training and ongoing learning relevant to the role.

Desirable

• Experience supporting meeting administration or secretariat functions.

• Familiarity with document management or shared digital workspaces.

• Governance or leadership training.

• Experience living or working with people with an intellectual disability and/or autism, or involvement in inclusive community settings
