The Chefs Long Table Charity Lunch is looking for a hands-on Volunteer Logistics Coordinator to join our Committee and take the lead on the physical and operational logistics that bring our annual event to life.

This isn't just a planning role. We’re looking for someone who is happy to roll up their sleeves and get involved in the setup, delivery and pack-down of the event, working alongside a fantastic crew of Committee members and volunteers.

The Role

As Logistics Coordinator, you’ll oversee the event site, infrastructure, equipment, suppliers, deliveries and operational setup required for the Lunch. This includes developing the site and logistics plan, coordinating marquees, furniture, staging, utilities, refrigeration, amenities, waste and other shared infrastructure, and managing supplier delivery and collection schedules. 

A major part of the role is being on the ground during event week and helping turn the plans into reality.

Our event is always held on a Sunday, with the key logistics period running from the Wednesday before the event through to Monday pack-down.

Wednesday – Saturday: Setup begins Wednesday and continues throughout the week. You'll help coordinate deliveries, infrastructure, equipment, site preparation and the progressive build of the event site.

Sunday – Event Day: You'll be part of the team completing final setup before guests arrive and will remain across logistics and practical operational requirements throughout the event.

Monday – Pack Down: You'll coordinate and assist with the physical pack-down of the event, including the marquee pull-down, supplier collections, equipment returns, waste removal and site restoration. All event equipment and gear must be returned to the appropriate locations and stored by close of business Monday.

It’s a Team Effort

You won't be expected to do it all yourself.

A crew of Committee members and volunteers will be available to support the Logistics Coordinator, including helping with the physical labour involved in setup and pack-down.

Your role is to help coordinate the team, keep everyone moving in the right direction and get hands-on alongside them when needed.

You'll also work closely with the Event Coordinator, Volunteer Coordinator, Chefs & Dining, Beverages, Ticketing and other operational portfolios to bring everyone's physical requirements together into one coordinated site plan. 

Who We're Looking For

We're looking for someone who is practical, organised, reliable and comfortable getting their hands dirty.

You might come from events, construction, trades, transport, warehousing, logistics, operations, project coordination, site management or another practical environment. Event experience would be great, but it isn't essential.

You'll ideally be someone who can:

  • Coordinate people, suppliers, equipment and competing priorities
  • Work from site plans, schedules and checklists
  • Think practically and solve problems as they arise
  • Communicate confidently with suppliers and volunteers
  • Maintain a strong focus on safety and site organisation
  • Work calmly under pressure during a busy event week
  • Physically assist with setup and pack-down activities
  • Commit to being available for the key Wednesday-to-Monday event period

The existing position description identifies practical problem-solving, organisation, safety awareness, supplier coordination and the ability to work under pressure as key attributes for the role.
