Ellenbrook Vipers Rugby Union Club is seeking an organised, proactive and community-minded Volunteer Secretary to join our Executive Committee.

This is more than an administrative role. We're looking for someone who can keep our club organised, support effective communication and governance, and actively contribute to decisions that shape our future.

Based at Woodlake Sports Ground in Ellenbrook, we're a family-focused, volunteer-run club committed to providing an inclusive and welcoming environment for children, families and the wider community.

We're proud to have been recognised as:

  • 2024 SportWest Community Club of the Year
  • 2025 Healthway Champions of Rugby – Healthy Club of the Year

In 2026, we welcomed approximately 160 registered players across eight junior competition teams, alongside Little Rugby, Walla Rugby and Social Seniors. We also launched our first U13 Girls team. As we look to 2027, we're expanding opportunities for girls and women, strengthening junior pathways, building partnerships and developing more year-round programs.

About the Role

As Secretary, you'll be a key member of our Executive Committee, supporting the club's administration, communication and governance while contributing to broader planning and decision-making.

Your responsibilities will include:

  • Preparing and distributing meeting agendas, documents and minutes.
  • Attending monthly meetings, recording decisions and tracking action items.
  • Managing club emails, correspondence and stakeholder communications.
  • Maintaining accurate, organised club records using Google Drive.
  • Coordinating AGM administration, including notices, agendas and minutes.
  • Supporting compliance with the club's constitution, policies and governance requirements.
  • Following up on committee actions, deadlines and administrative matters.
  • Maintaining confidentiality and accurate records.
  • Actively participating in Executive Committee discussions, planning and decisions across all areas of club operations.

About You

We're looking for someone who is reliable, approachable, organised and enjoys helping things run smoothly.

Essential requirements:

  • Strong administration, organisation and communication skills.
  • Confidence using Google Drive, Gmail, Google Docs and Google Sheets.
  • Ability to prepare accurate meeting minutes and maintain organised records.
  • Working with Children Check and National Police Clearance, where required for the role.
  • Excellent written communication and attention to detail.
  • Ability to manage priorities, meet deadlines and follow through on responsibilities.
  • Integrity, discretion and a collaborative approach.
  • Availability for monthly committee meetings and active Executive Committee participation.

Previous committee or community organisation experience is beneficial but not essential.

You don't need to know rugby to make a difference!

Time & Support

This flexible volunteer role involves monthly evening meetings, administration and Executive Committee participation as required.

Most tasks can be completed remotely using Google Workspace. A handover, induction and ongoing support will be provided by the President and Executive Committee.

Nominations & AGM Information

The Volunteer Secretary position will be filled as part of the Ellenbrook Vipers Rugby Union Club's upcoming Annual General Meeting (AGM).

Nominations close at midnight on Sunday, 8 November 2026 (AWST).
