Transport Coordinator

Out of the Woods Rescue (OOTW) is a Melbourne-based, registered animal welfare charity dedicated to rescuing, rehabilitating and rehoming animals in need. We are a 100% volunteer-run and foster-based organisation, meaning we don't operate a traditional shelter. Our work relies on a wonderful network of foster carers and volunteers across Melbourne.
We are looking for an organised and reliable Volunteer Transport Coordinator to help us manage and support our volunteer transport team.
About the role
This is a primarily administrative role focused on onboarding and maintaining our network of volunteer drivers. It is a small but important role that helps ensure we have a reliable, compliant team of volunteers available to transport cats, supplies and other items when needed.
The role is completed remotely and generally requires less than one hour per week, with flexibility to complete tasks at times that suit you.
Key responsibilities
- Monitor our inbox for new volunteer transport applications and enquiries
- Review and process applications in a timely manner
- Communicate with prospective transport volunteers via email
- Coordinate the onboarding of new transport volunteers
- Collect and collate signed volunteer agreements and other required documentation
- Check driver licences and ensure required compliance information has been provided
- Maintain accurate and up-to-date volunteer records
- Follow up with applicants where information or documentation is missing
- Assist with other minor administrative tasks relating to the volunteer transport team as required.
Please note: this role is focused on the administration and management of our volunteer transport team. You are not expected to personally complete transport runs or be available to drive animals to appointments.
About you
You don't need previous animal rescue experience. We're looking for someone who is:
- Organised and comfortable keeping track of documents and records
- Reliable and able to work independently
- Confident communicating with people via email
- Comfortable using basic online systems and digital documents
- Detail-oriented, particularly when checking applications and compliance documentation
- Able to handle personal information appropriately and confidentially
- Supportive of OOTW's approach to animal welfare and volunteer-based rescue.
Experience in administration, volunteer coordination, recruitment or compliance would be helpful, but is not essential.
